Ecotourism Expo Vendors

Thank you for participating in our Jubilee Eco-tourism Expo!

Please print or bookmark this information for your reference and visit this page as the event draws near for important updates.
  Our event will go rain or shine.  Please make sure all information is passed on to your on site volunteers and associates.  It is very important and very much appreciated that everyone shows up and is on time with set up.  If you are having issues on the day before, or the day of the event please contact Bonnie Caroline at (561) 741-2400.

SET UP INFORMATION:
On Friday, the day before the event, if you are having trouble locating us or have questions, please call 741-2400. This phone will be manned from 8:00 AM - 10:00 PM.  PLEASE DO NOT CALL BONNIE'S OFFICE NUMBER (741-2314) AS SHE WILL NOT BE IN HER OFFICE.

  • Booths will be labeled.
  • Booth set up is on Friday, February 4, 2017
  • 9:00 am – 5:00 pm
  • Ecoturism drop off area is on the west side of Community Center.  Heading east on Indiantown Road take a right on to Daniels Way.  Your 1st left off of Daniels Way will be the vendor drop off area for the Civic Fair, Business Fair and Eco-tourism Expo.

  • Multi-purpose gym will be locked Friday night at 6 PM. 
  • Each booth will be provided with 1 - 6' table and 2 chairs (If you need more seating please bring your own additional chairs.)

DAY OF EVENT

  • SET UP/PARKING
    • On Saturday, if you need to reach me prior to the event PLEASE CALL 741-2400. This phone will be manned from 8:00 AM - 6:00 PM. PLEASE DO NOT CALL BONNIE'S OFFICE NUMBER (741-2314) AS SHE WILL NOT BE IN HER OFFICE.
    • If you have to set up on Saturday morning you will need to be set up by 10 am. (Please use the west entrance of the community center located off Daniels Way, see site map.)
    • On Saturday morning you will not be permitted to enter the Community Center from the east side of the Town Hall campus to set up.)
    • Booths have been assigned on a first come, first serve basis. 
    • If you have requested electricity on your registration form, be sure to bring your own extension cord.  You will be sharing outlets with other vendors.  If you need more than one plug be sure to bring your own power strip.
    • Unless prior arrangements have been made, Ecotourism vendor parking is located at the Jupiter High School parking lot off of Daniels Way.  DO NOT PARK IN THE ECOTOURISM VENDOR DROP OFF AREA.  Please convey this to all members of your organization.  If you have a lot of materials we encourage you to set up or at least drop off you materials on Friday.
    • There is disabled parking on the east side of the Community Center for any volunteer or associate in need. 
    • We do not provide refreshments so please bring your own or you may purchase food from the event food vendors.  (There is a Wendy's within walking distance.)
    • As a vendor, you will have access to a refrigerator and microwave.
    • For your convenience, there is an ATM available in the Community Center lobby.
    • FREE Public WiFi will be available during the event.  (Special note: the wifi tends to be slow when there is a lot of usage)
  • RAFFLE
    • The purpose of this raffle is to encourage Jubilee patrons to first come to the Jubilee and then to interact with as many Ecotourism vendors as possible. As a vendor, please encourage everyone (no age restrictions), to participate and be generous with your trivia question answers as we want everyone to leave happy.
    • The Raffle works like this:
      • The "ticket" will have a list of all vendor trivia questions participating in the Ecotourism Expo.
      • I will give you the trivia question page for your booth the day of the Jubilee.
      • The patron will need to answer the required amount of trivia questions by visiting the appropriate booth. (You may NOT require any patron to purchase or sign anything.)  This is a fun "Raffle" and we hope that every vendor keeps a fun and happy outlook regardless of how much time was spent at your booth.
      • Please be sure participants have written their contact information clearly on each "raffle" ticket.
      • Once a participant has reached the minimum number of required answers (usually something like 13 of 17) they will then be eligible for all of the raffle prizes.  We will disqualify any entries not meeting this specific requirement.
      • Please encourage all entries to rank their preference for the raffle prizes this way I can match the right person with the right prize.  I will pull the raffle ticket and then match them to the their 1st, 2nd, and 3rd top raffle picks.)
      • The raffle ticket will need to be deposited in the raffle box located at the Jupiter Waterway Trail booth by 5:00 pm. Winners will be selected on Monday and contacted by phone.
      • Patrons do not need to be present to win or be a Jupiter resident to participate.
  • BREAKDOWN
    • We ask that you do not breakdown your booth until 4:45 pm.
    • All equipment must be removed from the Community Center before you leave. We are unable to store any equipment Saturday night.
    • Please use west side of Community Center, Multi-Purpose gym doors off of Daniels Way to reload.  

ADDITIONAL HOUSEKEEPING NOTES/REMINDERS:

  1. One application/business per booth.
  2. Selling of products/services onsite is PERMITTED WITHIN YOUR BOOTH ONLY. You must have preapproval of sale items/services and MUST be related to Ecotourism.       
  3. Booth activities should be appropriate to the family-oriented nature of the Jubilee.
    1. Please refrain from alcohol usage during the Jubilee.
  4. Each booth will be provided with 1 - 6' table and 2 chairs.
  5. While we want to encourage a creative space, please remember to remain within the 10' x 10' space provided.
  6. The required theme of your booth and promotions should be Ecotourism related therefore, the Town reserves the right to decline or reject any questionable, non-related material and or material sales.
  7. RAFFLE PRIZE DONATIONS: Please don't forget to bring a voucher to the Jubilee with your donation item and specifications explained; or you may e-mail it prior to the event for us to print. Please do not give away food or drinks to patrons. (Candy is ok.)  We also ask that you refrain from any raffles at your booth.
  8. There will be FREE popcorn again at the Town of Jupiter Waterway Trail booth.  This is mainly to attract people in to the Expo.
  9. The Jupiter Jubilee is a green event.  Absolutely no balloon giveaways or balloon decorations are allowed.
  10. A flyer listing all Eco-Tourism Expo participants and their contact information will be provided by the Town. Business/Organization descriptions will be taken from your application.
  11. Any audio presentations must be kept at a low volume as a courtesy to adjacent booths.
  12. Open public WiFi access is available; no password needed.
